Add attendance logs manually
Enter an attendance log manually for an employee.
This training manual provides a step-by-step guide on how to manually add employee attendance logs in the HRIS and Payroll system. This process allows users to individually encode employee time records, ensuring accurate tracking of employee attendance and work hours when logs are not imported or captured through biometric devices.
Purpose
To help users:
- Manually record employee attendance logs
- Ensure accurate time tracking when no import is used
- Correct or complete missing attendance records
- Maintain reliable attendance data for payroll processing
Prerequisites
Before proceeding, ensure you have:
- Access to the HRIS + Payroll system
- Permission to manage attendance logs
- Existing employee records in the system
- Correct employee ID and schedule details
Step 1: Access the Attendance Module
To begin importing of logs, navigate to the HRIS + payroll application
Once inside HRIS + payroll, locate and click the Attendance module.
Inside the Attendance module, click on DTR (Daily Time Records).
Step 2: Adding of Employee Logs
In the DTR screen, click the +Add Record button located at the right part of the screen.
In the form that appears, click Add New Row to start entering details.
For each row, fill out the required fields:
- Employee ID
- Date & Time
- Type (Type of log, e.g., IN or OUT)
Make sure that the time is included in the Date & Time field. After selecting the date from the calendar, set the time located in the right part of the calendar before proceeding.
The Location and Image fields are currently disabled when manually adding logs. These fields are only used when attendance logs are recorded through the mobile application. The mobile application uses geotagging to capture the actual location of the employee when the log is recorded. The system also captures an image when logging in and out via mobile. Because of this, Location and Image fields are automatically recorded by the system and are not required for manual log entry.
Important Tips:
- Remove any blank rows before saving to ensure all entries have complete information and logs are processed correctly.
- You can add logs for multiple employees in one form by clicking Add New Row for each employee. After completing all rows, save once to apply all entries at the same time.
Expected result
- Logs are recorded successfully in the system
- Employee attendance reflects the entered time records
- Entries appear in the DTR table
- Data is ready for attendance processing and payroll
Troubleshooting
- Logs not saved
- Check all required fields are completed
- Incorrect time recorded
- Verify date and time values before saving
- Employee not found
- Confirm correct employee ID
- Missing logs in DTR
- Refresh the page after saving
Notes
- Always include both date and time in entries
- Use correct log type such as IN or OUT

- Review entries before saving to prevent errors
