Update attendance rates
Review and update attendance rates used in payroll calculations.
This training manual provides a step-by-step guide on how to modify attendance rates in the HRIS + Payroll system. Attendance rates are the values used by the system to calculate employee pay based on different attendance types, such as regular working days, overtime, night differential, holiday, and restday. These rates play an important role in ensuring that employee salary computations are accurate and aligned with the company’s payroll setup. Updating attendance rates allows administrators to maintain accurate payroll computations based on company policy, labor requirements, or operational adjustments. This is especially useful when there are changes in compensation structures or rate configurations that need to be reflected in the system.
Purpose
To help users:
- Update attendance rate values
- Ensure accurate payroll computation
- Align system rates with company policy
- Adjust rates based on operational changes
Prerequisites
Before proceeding, ensure you have:
- Access to the HRIS + Payroll system
- Permission to manage attendance settings
- Defined payroll structure and rate policies
- Understanding of attendance rate categories
Step 1: Navigate to the Attendance Module
To begin updating attendance rate, navigate to the HRIS + Payroll application.
Once inside the system, locate and click the Attendance module.
Step 2: Access Attendance Settings
In the Attendance section, click the Settings button located at the upper-right corner of the screen.
Inside the Settings page, select the Attendance Rate tab.
Step 3: View Existing Attendance Rate Tables
Inside the Attendance Rate tab, you will find the current attendance rate settings configured in the system. These rates are aligned with government labor policies and serve as the basis for payroll computations for different attendance categories. The attendance rate settings are divided into separate tables for the following categories:
- Working Days - This table shows the base rate used for an employee’s regular work rendered on different day types.
- Overtime - This table shows the overtime rate multipliers for each day type. These are used when an employee works beyond the required working hours.
- Night Differential - This table contains the rate multipliers for work rendered during night shift hours.
- Night Differential Overtime - This table contains the rates used when an employee works overtime during night shift hours. Each category has its own corresponding table where the current rates are displayed.
Step 4: Modify Attendance Rate Values
To edit a specific attendance rate section, click the pencil icon located at the upper-right corner of the corresponding table.
Update the attendance rate values as needed based on your required changes. Once you have finished modifying the attendance rate values, click the Save button to apply and save your changes.
Important Notes:
- Each attendance rate table includes both Daily and Monthly columns. Ensure that the appropriate values are entered in the correct column, as the system uses these rates based on whether the employee is daily-paid or monthly-paid.
- Ensure that all modified attendance rate values are reviewed carefully before saving, as these rates directly affect payroll calculations for employees.
Expected result
- Attendance rates are updated successfully
- New values are applied to payroll calculations
- Changes reflect in all relevant attendance categories
