Create a holiday calendar

Add holidays to the calendar used for employee schedules and attendance.

This training manual provides a step-by-step guide on how to create calendar holidays in the HRIS + Payroll system. This feature allows users to define official holidays or special events within a selected calendar, ensuring accurate scheduling, attendance computation, and payroll processing.

B. Process

To help users:

  • Add official holidays or special events in the system calendar
  • Assign holidays to specific dates and months
  • Ensure accurate attendance and payroll computation
  • Maintain an updated organizational holiday calendar
  • Avoid scheduling conflicts during holidays

Prerequisites

  • Access to the HRIS + Payroll system
  • Permission to access the Schedule Calendar module

Step 1: Navigate to the HRIS + Payroll Module

To begin creating a calendar holiday, navigate to the HRIS + Payroll application.

Once inside the system, locate and click the Schedule module.

Step 2: Access the Calendar List

Inside the Calendar module, you will see a list of all default holidays for the current year in the system.

If there is no generated calendar in your setup, you can click the Generate Template button to create the default holidays for the current year.

After clicking the Generate Template button, the system will automatically populate the calendar with the standard holidays based on the selected year.

Step 3: Add Holidays

If you have specific holidays that you want to add to the template, locate the month where you want to include the holiday. Click the + Add button under the selected month.

A form will then appear.

Fill out the required fields: Select Day Choose the exact date of the holiday. Add Event Enter the name or description of the holiday or event. Select Holiday Type Choose from the predefined holiday types available in the system (e.g., Regular Holiday, Special Non-Working Holiday, Special Working, and Regular Day). Once all required fields are completed, click the Create button to save the holiday.

The system will then add the holiday to the selected calendar and month.

After successfully saving the holiday entry, it will automatically reflect in the employee’s attendance as a Holiday.

Step 4: Edit Holiday

To edit an existing holiday, click the holiday name and update the details in the form. Once the necessary changes have been made, click the Update button to apply the changes.

You may also remove a holiday by clicking the Delete button, then confirming the action when prompted.

Note: If there are changes in the official holiday schedule (for example, if a special non-working holiday is moved to a different date by the government), the user must manually update the calendar in the system. These changes are not automatically reflected in the system calendar and must be adjusted by the administrator to ensure accuracy.

Expected result

  • Holiday is successfully created in the calendar
  • Holiday is reflected in employee attendance
  • Payroll computation automatically recognizes the holiday

Troubleshooting

  1. Holiday not appearing in calendar
  • Ensure the correct month and calendar are selected
  1. Incorrect holiday type
  • Edit the entry and select the correct holiday type
  1. Changes not reflected in attendance
  • Refresh the system or verify payroll cut-off period

Notes

  • Only holidays added and saved in the calendar will be reflected in the employee’s attendance as Holiday.
  • Ensure that the correct date, event name, and holiday type are selected before saving the entry.
  • If there are changes in the official holiday schedule, the calendar must be manually updated in the system.
  • Always verify the calendar after creating or updating a holiday to ensure accuracy.
