Enable employees to view their DTR

Configure whether employees can view their own Daily Time Record.

This training manual provides a step-by-step guide on how to configure the Viewing of Own DTR setting in the HRIS + Payroll system. This setting controls which attendance logs a user can view in the DTR (Daily Time Record) module. Users must first be granted access to the DTR module before they can use this feature. When Viewing of Own DTR is enabled, users can only view their own attendance logs. When disabled, users with access to the DTR module can view attendance logs of other employees.

Purpose

To help users:

  • Configure the Viewing of Own DTR setting
  • Control which attendance logs users can view in the DTR module

Prerequisites

Before proceeding, ensure you have:

  • Access to the HRIS + Payroll system
  • Permission to access the Attendance module
  • Permission to manage Attendance Settings
  • The intended users have been granted access to the DTR module

Step 1: Navigate to the Attendance Module

To begin configuring the Viewing of Own DTR setting, navigate to the HRIS + Payroll application.

From the main navigation menu, click the Attendance module.

Step 2: Open Attendance Settings

In the Attendance module, click the Settings button located at the upper-right corner of the screen.

The Attendance Settings page will display the available attendance configuration options.

Step 3: Configure Viewing of Own DTR

Locate the Viewing of Own DTR setting.

Note: This setting is applicable only to employees assigned to Shift or Flexitime schedules. Enable or disable the setting based on the required DTR visibility.

  • Viewing of Own DTR Enabled (Checked) – Users with access to the DTR module can only view their own attendance logs.
  • Viewing of Own DTR Disabled (Unchecked) – Users with access to the DTR module can view attendance logs of other employees. After configuring the setting, click Save to apply the changes.

Step 4: Verify the Configuration

After saving the setting, go to the Home page, then click the DTR module.

Verify that the DTR module displays the expected attendance logs based on the configured setting.

  • If Viewing of Own DTR is disabled, confirm that attendance logs of other employees are visible.

  • If Viewing of Own DTR is enabled, confirm that only the user's own attendance logs are visible.

Expected result

  • The Viewing of Own DTR setting is successfully configured.
  • The DTR module displays attendance logs according to the configured setting.
  • The configured DTR visibility is applied successfully.

Troubleshooting

  1. User cannot access the DTR module
  • Verify that the intended user has been granted access to the DTR module.
  1. The displayed attendance logs do not match the configured setting
  • Verify that the Viewing of Own DTR setting was saved successfully, then refresh the DTR module and check the displayed logs again.
  1. Changes are not reflected in the DTR module
  • Verify that the latest configuration has been saved and reload the DTR module.

Notes

  • Access to the DTR module must be granted separately. If you need to grant an employee or user access to the DTR module, refer to the Manage user roles and permissions Knowledge Base article for instructions on configuring user access and permissions.
  • The Viewing of Own DTR setting only controls which attendance logs users can view.
  • Changes to the setting take effect after the configuration is saved.
  • The setting only affects DTR visibility and does not modify the employee's attendance records.
