Configure holiday settings
Configure how holidays affect schedules and attendance calculations.
This training manual provides a step-by-step guide on how to configure Holiday Settings in the HRIS + Payroll system. This feature allows administrators to define attendance requirements that will determine an employee’s eligibility for holiday pay. These rules are applied only when an employee does NOT work during the holiday. The system will check if the employee met the required attendance (before and/or after the holiday) to qualify for holiday pay.
Purpose
To help users:
- Control how holiday pay eligibility is applied
- Enforce company attendance policies around holidays
- Standardize rules for both daily-paid and monthly-paid employees
- Ensure accurate payroll computation during holidays
Prerequisites
- Access to the HRIS + Payroll system
- Permission to access Schedule Settings
- Holidays are already defined in the system
- Understanding of company holiday pay policies
Step 1: Navigate to the Schedule Module
To begin configure holiday settings, navigate to the HRIS + Payroll application.
Once inside the system, locate and click the Schedule module.
Step 2: Access Holiday Settings
Inside the Schedule module, click the Settings button located at the top right corner of the screen. In the Settings menu, select the Holiday Settings module.
Step 3: Review Holiday Types
In the table, you will see two main holiday categories:
- Regular Holiday
- Special Non-working Holiday Each category has separate configurations for:
- Daily Rate Employees - These employees are paid based on the number of days worked. Their salary depends on attendance, so holiday eligibility rules are stricter and directly affect their pay.
- Monthly Rate Employees - These employees receive a fixed monthly salary, regardless of the number of days worked within the month. Holiday pay rules for them may vary depending on company policy.
Step 4: Configure Work Requirement for Daily Rate Employees
Choose one of the following options:
- Need to work before holiday
- Employee must be present the day before the holiday
- Need to work after holiday
- Employee must be present the day after the holiday
- Need to work before and after the holiday
- Employee must be present both before and after
- Not Required
- No attendance requirement
- No Work, No Pay
- Employee will not be paid if they did not work on the holiday
Step 5: Configure Work Requirement for Monthly Rate Employees
Select one of the following:
- Need to work before holiday
- Need to work after holiday
- Need to work before and after the holiday
- Not Required
Note: Monthly-paid employees may follow different rules depending on company policy.
Step 5: Save Settings
Review all selected configurations by clicking the information icon to see sample scenarios for each rule.
Click Save to apply changes.
Expected result
- Holiday settings are successfully configured
- Employee eligibility for holiday pay is properly defined
- Attendance requirements are enforced based on selected rules
- Payroll computation reflects the correct holiday policy
Troubleshooting
- Employee did not receive holiday pay
- Check if attendance requirement (before/after holiday) was not met
- Holiday pay applied incorrectly
- Verify selected option in Holiday Settings
- No Work, No Pay not applied
- Check if correct holiday type and employee category is configured
- Changes not reflected in payroll
- Ensure settings are saved before payroll processing
Notes
- Holiday Settings are applied only if the employee did not work during the holiday
- If the employee worked during the holiday, normal holiday premium pay rules will apply
- These settings determine if the employee is still eligible for holiday pay based on attendance (before/after holiday)
- Always align settings with company policy before payroll processing
