Manage raw attendance logs
Edit, delete, void, or re-sync raw attendance logs.
This training manual provides a step-by-step guide on how to manage raw logs in the HRIS + Payroll system. It covers how to edit, delete, void, and re-sync logs to ensure accurate attendance processing and proper log alignment.
Purpose
To help users:
- Edit incorrect or incomplete attendance logs
- Delete invalid or unnecessary logs
- Void processed logs that should no longer be included
- Re-sync logs to correct misaligned IN and OUT entries
- Maintain accurate attendance data for payroll processing
Prerequisites
- Access to the HRIS + Payroll system
- Permission to access the Attendance Module
- Existing attendance logs
- Basic understanding of DTR (Daily Time Record) logs
Step 1: Navigate to the Attendance Module
To begin updating raw logs, navigate to the HRIS + Payroll application.
Once inside the system, locate and click the Attendance module.
Inside the Attendance module, go to DTR tab
Here, you will see all the logs that have been recorded in the system.
Step 2: Edit and Delete Logs
To edit or delete logs, you first need to filter the logs as Unprocessed, as only unprocessed logs can be modified.
Take note that Processed and Void logs can no longer be edited.
- Unprocessed Logs To edit logs, make sure the filter is set to Unprocessed, then under the Action column, click the Edit icon. From here, you can update the date/time and the log type.
To delete logs, click the Trash icon. Deleted logs are permanently removed, so make sure to double-check before deleting.
If multiple logs need to be deleted, select the checkboxes on the left side of the table, then perform a batch delete action.
Step 3: Set Logs as Void
If a log has already been processed through syncing but should no longer be included in attendance processing, you can set it as Void. This means the log will be excluded from further processing in the Update Attendance. To set logs as void, filter the logs as Processed, then under the Action column, click the action dropdown and select Set as Void.
Once a log is set to Void, it becomes invalid and can no longer be edited or used in attendance processing. It will also be moved to the Void tab under the filter.
Step 4: Re-sync logs
Re-sync is used to correct how logs are assigned to the proper date, especially when logs are misaligned after processing. For example, if an employee has an IN and OUT on April 1, then only an OUT on April 2, the system may incorrectly pair the April 2 OUT with April 1. If you later add an IN for April 2, you need to re-sync so the logs are correctly aligned to their proper dates. Please note that re-syncing only applies to logs that are already processed. To re-sync logs, go to the Filter and select Processed. Then, under the Action column, click the action dropdown and choose Re-Sync.
This will reprocess the logs and correctly align them based on the updated entries.
Expected result
- Logs are correctly edited or removed as needed
- Invalid logs are successfully voided
- Misaligned logs are properly corrected after re-sync
- Attendance data becomes accurate and ready for processing
Troubleshooting
- Unable to edit logs
- Ensure logs are in Unprocessed status
- Logs not reflecting correctly in attendance
- Perform Re-sync after updating logs
- Deleted logs still appearing
- Refresh the system or verify filter selection
- Incorrect log pairing (wrong IN/OUT)
- Use Re-sync after correcting logs
Notes
- Only Unprocessed logs can be edited or deleted
- Processed logs can only be voided or re-synced
- Void logs are permanently excluded from attendance processing
- Re-sync should be used after modifying logs that affect IN/OUT pairing
- Always verify logs before deleting or voiding to avoid data loss
- Filtering of logs is based on the selected dates, so make sure the correct date or date range is selected
