HRISScheduling & Shifts

Manage schedule exemptions

Exclude selected employees from standard schedule rules.

This training manual provides a step-by-step guide on how to set Schedule Exemption in the HRIS + Payroll system. Enabling this feature allows selected employees to be exempted from schedule monitoring, meaning the system will not compute late, undertime, absences, leave, and overtime for these employees. Schedule Exempted employees still receive government mandated deductions and withholding tax. This includes SSS, PhilHealth, Pag-IBIG, and Withholding Tax. The only items not applicable to Schedule Exempted employees are leave credits and overtime. All mandated rates and deductions will still apply, except for regular overtime, since the employee is not required to follow a fixed schedule. This setup is commonly used for employees with fixed salary, managerial positions, field-based roles, or employees not required to follow a fixed work schedule.

Purpose

To help users:

  • Assign employees as Schedule Exempted
  • Exempt employees from time-in and time-out monitoring
  • Automatically include employees in Log Exemption
  • Ensure correct attendance and payroll computation for exempted employees

Prerequisites

  • Access to the HRIS + Payroll system
  • Permission to manage Schedule Module
  • Employee list already created in the system
  • Employees are assigned to the correct payroll setup

Step 1: Navigate to the Schedule Module

To begin adding employees to schedule exemption, navigate to the HRIS + Payroll application.

Once inside the system, locate and click the Schedule module.

Step 2: Define Schedule Type of Employee as Scheduled Exempted

Go to Set Employee Schedule Type

Inside the Set Employee Schedule Type, you will see four options: No Schedule Yet, Flexi, Shift, and Schedule Exempted. No Schedule Yet This is the default status for newly added employees. It means the employee does not have any schedule type assigned yet. You need to configure this before proper attendance tracking applies. Flexi Employee has flexible working hours. No fixed time in and time out. The system allows movement in schedule as long as required work hours are completed. Shift Employee follows a fixed schedule. There is a defined time in and time out. Attendance, late, and undertime are based on this set schedule. Schedule Exempted Employee is not required to follow any schedule. The system does not check time in, time out, late, or absences. This also means the employee is automatically included in LOGS Exemption and follows a fixed salary setup.

Click the No Schedule Yet tab, then select the employees by checking the checkbox beside their names. These are the employees you will assign as Schedule Exempted

After selecting the employees, a button will appear at the top. Click the dropdown and choose Schedule Exempted.

Once the employees are added, click the Schedule Exempted tab to view the employees under this category.

Step 3: Viewing of Employees in Log Exemption

In the Schedule Module, go to the upper right corner and click Settings.

Inside the Schedule Settings, go to Log Exemption

In the table, the employee will automatically appear in the list after being set as Schedule Exempted.

Expected result

  • Employees are successfully assigned as Schedule Exempted
  • Employees are automatically included in Log Exemption
  • The system will not compute late, undertime, or absences for exempted employees
  • Attendance logs will not be required for Schedule Exempted employees

Troubleshooting

  1. Employee still has late/undertime/absences
  • Employee not assigned as Schedule Exempted
  1. Employee not appearing in Schedule Exempted tab
  • Changes not saved or employee not properly selected
  1. Employee not appearing in Log Exemption
