Manage grace-period exemptions

Set which employees are exempt from grace-period rules.

This training manual provides a step-by-step guide on how to set Grace Period Exemption in the HRIS + Payroll system. Enabling this feature allows selected employees to be exempted from the grace period policy, meaning the system will not apply the allowed grace period minutes to these employees when computing late. Their late will be computed based on their actual time in without grace period consideration. This setup is commonly used for employees who are required to follow strict time-in policies.

Purpose

To help users:

  • Exempt specific employees from grace period rules
  • Apply strict time-in policy to selected employees
  • Ensure accurate late computation
  • Manage employees who are not allowed to use grace period

Prerequisites

  • Access to the HRIS + Payroll system
  • Permission to access Schedule Settings
  • Grace Period is already configured in Schedule Setting
  • Employee list already created in the system

Step 1: Navigate to the Attendance Module

To begin adding employees to grace period exemption, navigate to the HRIS + Payroll application.

Once inside the system, locate and click the Schedule module.

Step 2: Access Grace Period Exemption Settings

Inside the Schedule module, click the Settings button located at the top right corner of the screen. In the Settings menu, select the Grace Period module.

Under No Grace Period tab, you will see a table list of employees who currently do not have a grace period applied.

Set as Default Option (Optional) If you want the Grace Period Exemption to be automatically applied to all newly added employees in the system, you may enable the Set as Default option. To do this, simply toggle the Set as Default button.

When Set as Default is enabled, all new employees added to the system will automatically be included in the Grace Period Exemption list, and the grace period will not be applied to them. If Set as Default is disabled, you will need to manually add employees to the Grace Period Exemption list.

Step 3: Add Employees to Grace Period Exemption

Click the +Add Record button at the top right corner. A list of employees will appear. Select the employees you want to exempt from the grace period by checking the checkbox beside their names.

Click Include Selected Employees to apply the exemption. Once done, click the Close button to return to the main Grace Period table. The newly exempted employees will now appear in the list. Removing Employee from Grace Period Exemption If you need to remove an employee from the Grace Period Exemption list, click the trash icon beside the employee’s name.

This will remove the employee from the exemption list. Once removed, the grace period will apply to the employee again, provided that a grace period policy is configured in the Schedule Settings.

Expected result

  • Selected employees are added to the Grace Period Exemption list
  • Grace period will not be applied to these employees
  • Late will be computed based on actual time in
  • Attendance computation will follow strict time-in policy

Troubleshooting

  1. Employee still has grace period
  • Employee not added to Grace Period Exemption list
  1. Employee not in selection list
  • Employee not yet added to the system
  1. Changes not applied
  • Did not click Include Selected Employees

Notes

  • Grace Period Exemption means the employee cannot use grace period.
  • Late will be computed based on actual time in.
  • This is usually applied to employees with strict attendance policies.
  • Always review the employee list after adding employees to exemption.
  • Only selected employees in the list are exempted from grace period.
