Manage withholding tax exemptions
Add employees to the withholding exemption list manually or by CSV import.
Use the Withholding Exemption setting to maintain the employee list used by payroll for withholding tax deductions. Add an employee only after confirming their eligibility under your organization’s payroll policy.
Before you start
Confirm the employees who should be included and have access to Payroll Settings. For imports, prepare the employee codes and use the template provided in SprintHR.
Add employees manually
- Open Payroll and select Settings.
- Select Withholding Exemption.
- Select + Add Record.
- In the employee selection window, select the employees to add. Use search to find a specific employee.
- To select every employee shown on the current page, use the checkbox at the top of the selection column.
- Check the selected employee count, then select Add to Exemption.
If the full employee group does not fit on the current page, add it in batches and verify the count for each batch.
Import employees from a CSV
- On the Withholding Exemption page, select Import.
- Review the Withholding Tax Exemption Import Guidelines.
- Select Download Template and fill in the required employee code for each employee. Leave the template header unchanged.
- Save the completed file as CSV.
- Select Choose File, choose the CSV, then select Import.
- Select View Summary to check the successful and failed records.
- If records failed, download the failure report, correct the employee codes or other listed errors, then import the corrected file.
Troubleshooting
- If an employee is still subject to a withholding deduction, confirm they appear in the exemption list and verify the payroll setup for the period.
- If an employee is missing from the list, check that their employee code is correct and their profile exists.
- If an import fails, compare the CSV with the supplied template and review the import summary for the reported errors.
Because this setting affects payroll withholding, confirm employee eligibility with your payroll administrator before changing the list.
